How Can I Import Planning Groups In My Comp Cycle?
Planning Groups in Pequity let you assign employees into specific groups for easier review and approval during a compensation cycle. This guide walks you through how to import planning groups into your cycle.
Step 1: Prepare Your Import File
-
-
Download the Planning Group Import Template from the cycle's settings page > Import tab.
-
Fill in the required fields:
-
planning_group - this field contains all planning groups included in the cycle. The planning groups should match the groups within your wave columns in the census file (e.g., department groups such as Human Resources or Marketing or manager names such as Chandler Bing)
-
Planner - add the email addresses of users that will be assigned as Planners to groups (use semicolons (;) as separators for multiple planner email. Make sure that the email addresses have been added as Pequity users already. If not, new users will be created for them.)
- Planning Partner - assigns users as Planning Partners to groups (use semicolons (;) as separators for multiple planner email. Make sure that the email addresses have been added as Pequity users already. If not, new users will be created for them.)
- (Optional) Other roles available (i.e HRBP or Communication, depending on your setup) (use semicolons (;) as separators for multiple planner email. Make sure that the email addresses have been added as Pequity users already. If not, new users will be created for them.)
- (Optional) Budget and Budget rollup depending on the element
-
- comp_element [fund] header assigns a discretionary fund amount to the compensation element for each planning group. Enter as a decimal value (e.g., 50000).
- "comp_element [rollup]" header defines which planning group the current group's budget should roll up to.
- comp_element headers:
-
-
Save the file as a
.csv
-
💡Tip: Make sure the employee identifiers exactly match the census file used in the cycle. Otherwise, employees may not be placed in a group.
Step 2: Upload the File
-
Go back to the Import tab in your cycle's Settings page.
-
Select or drag and drop your completed file.
- Click the Upload Planning Group CSV button.
Step 3: Upload the Wave columns
- Now that you have imported the groups in your cycle, you should now assign them to their specific waves, per employee. To do this, create a CSV file containing the following columns:
- EID (make sure that this column matches your layout) - contains the Employee IDs
- Wave columns (i.e Wave 1, Wave 2, etc.) - assigns planning groups to waves per employee
💡 Tip: Download the employee data template to ensure you grab the correct headers.
2. In the Import page, click on "Add employees". Choose "Upload CSV" then select or drag and drop your file. Follow the instructions to proceed.
3. Once the file has been successfully upload, review your workbook and the Planning Hierarchy tab in the cycle's settings page to ensure that everything is ready to go!
🚀 Best Practices:
- Assign yourself as a planner during testing so you can simulate the exact experience planners will have. Once you’re ready to launch, switch your role to planning partner—this way, you can still preview and validate what planners see after the cycle goes live.
-
Use consistent group names (avoid typos) to prevent duplicate groups.
-
Validate your file against the census to reduce mismatches.
-
Keep a backup of your import file for reference.
